AR/ Billing Specialist

Position Overview

 

The specialist is responsible primarily for collection activities and assists with the billing process.

This individual has frequent interaction with all levels of the firm including partners and senior management.  The position is an integral member of the Internal Accounting department. Our ideal candidate will have excellent project management skills, experience with finance system implementations, report design, and process improvements.   In addition expected qualities are to be a highly motivated professional who delivers excellent client service to all levels of an organization, have excellent verbal and written communication skills, be approachable, team oriented, utilizes highest degree of discretion and committed to results. The position will report to the Director of Finance and Controller and have the potential to develop into the Assistant Controller position.

 

 

Primary Responsibilities, but are not limited to:

  • Responsible for all client collections – monitor A/R Aging report, discuss late payments and problem clients with Partners/Billing Managers on a regular basis, strategize with Partners/Director of Finance on best way to approach clients, make collection phone calls, process statements to clients & other related matters
  • Lead the Billing process on a monthly basis
  • Process daily client payment receipts – prepare spreadsheet report, photocopy checks, apply payments to invoices in accounting system, and prepare checks for bank deposits
  • Process and monitor credit card payments online
  • Process client credits and adjustments & reconcile monthly A/R balance
  • Create & maintain a tracking system to record contact with clients with current status updates, to be reviewed on a regular basis
  • Prepare bill details for specified clients on a monthly basis
  • Prepare monthly statements for multiple offices and service lines
  • Respond to client requests and questions regarding bills
  • Manage the Firm’s commission bonus process and quarterly calculations

 

Required Qualifications:

  • 3-5 years minimum experience in A/R management and executing collection communications
  • Collections & A/R experience at a professional service firm preferred (i.e. regional CPA or Big 4 Accounting Firm)
  • Excel proficient at the advanced level
  • Ability to communicate effectively and professionally at all levels of the organization
  • Strong finance report design and execution skills
  • Strong project management skills with high attention to detail
  • Bachelors of Sciences degree in Accounting and CPA path preferred
  • Must be authorized to work within the United States & successfully pass a background check

 

Desired Systems Experience:

  • CCH Practice Management for professional services firms and/or similar software
